Locating a patient or encounter from the Search Results list
If your search criteria returns a list of either patients or encounters in the Search Results grid on the Patient Search window, click one of these options for information on locating the patient/encounter you need and options for viewing document images:
Locating a patient
When your search criteria returns a list of patients, you have the following options:
- Review the information in the Search Results grid to identify the patient you need. Demographic information (age, date of birth) for the patient may help you make a selection. For EMPI (Enterprise Master Person Index) enabled enterprises, see Information on the Search Results Grid for EMPI.
- To review the encounters for the patient, click the plus sign next to the name of the patient. The Search Results grid expands to display all encounters for the patient that you have security rights to access.
When you click on the plus sign for another patient, the system collapses the encounters for the first patient.
- Click on the Patient Name link to access the document tree listing all encounters and documents for that patient.
Locating an encounter
When your search criteria returns a list of encounters, you have the following options:
- Review the information in the Search Results grid to identify the encounter you need. Specific data for the encounter (admission date, service) for the encounter may help you make a selection. For EMPI-enabled enterprises, see Information on the Search Results Grid for EMPI.
- Click on the Encounter number link to access the document images for that encounter.
About search results in excess of 500
When your search criteria returns a list in excess of 500, the system displays the first 500 records found and the message 'Your search has exceeded 500 results. You may want to refine your search.' Do the following:
- Enter additional identifying information as search criteria to refine your search. This helps ensure that you are receiving all records for a single EPN or name in the same results set. Enter enough information so that results do not exceed the 500 results limit. If you do not do this, you may not see all the records associated with the object of your search.
- For EMPI-enabled enterprises, you may get the message alerting you to the fact that your search results exceeded 500, but see fewer than 500 rows in the results list. This occurs because an EPN is usually associated with more than one MRN. The 500 rows are calculated at the MRN level. If you expand each EPN row, you will see all 500 rows in the search results list.
Viewing documents from the Search Results grid
Use the following table to access the list of documents for the patient/encounter and view the document images you need. For EMPI (Enterprise Master Person Index) enabled enterprises, see About EPN Search Results.

Access the documents for one encounter

Click the Encounter number link.
The system opens the viewer and displays the first document in the chart for that encounter.

Access the documents for one or many encounters
|
Click in the check box in front of one or more Encounter numbers. Then click the View button.
The system displays the document tree with only the documents for the encounter numbers you selected listed. Click on the document or page you need.

See all the documents associated with this patient
|
Click the Patient Name link.
The system displays the document tree with all the documents for the patient across encounters listed. Click on the document or page you need.
Use the Sort by: radio buttons to sort the list by Document name or by Encounter number. Tip: Using the Document sort option you can group all one document type (for example, Lab Results) for the patient from all encounters.
