To Process Signature Deficiencies

Processing signature deficiencies requires the use of the worklist for deficiency selection and the Deficiency Viewer for review and completion. You can also decline deficiencies from the worklist without viewing the document image.

To review and process signature deficiencies, follow these steps:

  1. Use the steps in To Select and Display Signature Deficiencies to access one, many, or all of your deficiencies.
  2. Ensure that the appropriate worklist is selected from the Deficiency Worklists panel. If you are a member of a physician group, and another group member is accessing the same document for deficiency completion, you will not be able to process your deficiencies.
  3. The way the viewer presents pages depends on the makeup of the documents in the deficiencies you have elected to review. You can have:

    Typically, when you select multiple deficiencies to process, the module presents only the pages containing deficiencies. Click here to see exceptions. Each signature deficiency is displayed separately, even if you have multiple deficiencies on the same page.

  4. Process the deficiencies for the displayed documents using the Deficiencies menu/toolbar options. For information about using short-cut keys in deficiency processing, see Short-Cut Keys from the Viewer.
  5. For information about editing documents during deficiency completion, see About Text Editing and To Edit Text During Deficiency Completion.

  6. For deficiencies with multiple pages, use the navigation buttons to navigate the pages. When you get to the page with the deficiency (for scanned documents, includes a signature box), the system enables the Sign button.
  7. To sign the deficiency, click the Sign button. (If the page with the deficiency is not in the viewer, the Sign button is disabled. You can select the page with the deficiency [marked with an S] from the document tree or use the navigation options to navigate pages.) The system processes the deficiency and, if you selected more than one, presents the next deficiency for your review.
  8. Alternately, use the following viewer options to process deficiencies or exit the function:

Auto Sign button. See Using Auto Sign.

Skip the deficiency

Skip button. The system skips the deficiency and displays the next signature deficiency or, if you are on the last deficiency, returns you to the worklist. The unsigned deficiency is retained in the worklist.

Decline the deficiency

Decline button. The system displays the Decline Deficiency Window. See Declining Deficiencies.

If you click OK to accept the reason and decline action, the system displays the next deficiency or returns you to the worklist. The declined deficiency is processed.

View/complete visual cues for HL7 or COLD text-based documents

Text (T) button within the document image. Visual cues replace the missing text function for HL7 or COLD text-based documents. See To Complete a Signature Deficiency with Visual Cues.

See all the documents associated with this encounter

Encounter Viewer button. The system displays the first page of the first document in the chart in an additional viewer.

See a list of all the encounters/documents associated with this patient

Medical Record Viewer button. The system displays the list of encounters/documents for the patient in the viewer, allowing you to access the documents for each encounter.

Discontinue the signature completion function

Exit button. The system exits the viewer, unlocks any deficiencies (unless the system is in the process of applying text editing and authentication changes to the document), and returns you to the worklist.
