Using Auto Sign

If your enterprise has elected to use the Auto Sign feature, you can have the document images for signature deficiencies presented in a timed display and signed at one time. This helps to expedite signature deficiency processing.

The timing of the presentation is based on a parameter for your system. You can modify the timing of your display on the Edit Your Deficiency Worklist Preferences window (accessed by clicking the edit button on the Deficiency Worklist window), but it cannot be changed to less than the minimum set by the enterprise.

Note: When using Auto Sign to process signature deficiencies, you may encounter a document that is text editable. The system allows you to sign the document, but does not allow text editing within the Auto Sign process. If you recognize a document that you need to edit, stop the Auto Sign process and re-access the document image for the individual deficiency. You cannot skip or decline individual deficiencies during Auto Sign.

Also note that visual cues are not displayed on a document while it is in Auto Sign mode. To see them (and, optionally, enter information), you must exit Auto Sign and access the deficiency in standard mode.

To use Auto Sign during completion of signature deficiencies, do the following:

  1. On the deficiency worklist, Signature option, select multiple deficiencies and click Process, or click Process All, and enter your PIN code. The system displays the document image for the first deficiency. The Auto Sign button is enabled on the viewer toolbar.
  2. Note: For COLD documents displayed as text: To read the text more easily, you can change the font face and font size by using the Font Selection and Font Size options from the Document menu. Changes to either of these settings apply to the entire document but are not permanent.

  3. To begin the automatic timed display, click Auto Sign. When you do this, the AutoSign toolbar is displayed. You can reposition this toolbar to another location on the screen for convenience. The location you choose is saved across login sessions. At any time during the process, you can click Stop, then use the Continue button to resume.
  4. Review the signature pages (and any non-signature pages) presented. Signature pages for scanned documents have a signature box.
  5. After all the document images have been displayed for review, the system displays "Do you want to sign the pages you have reviewed?" To sign, click Yes.
  6. The system affixes your signature to each signature page for all deficiencies that you reviewed completely, that is, the set review time has elapsed. This allows you to interrupt your Auto Sign session and sign any documents already reviewed without completing your entire deficiency list. The authenticated deficiencies are removed from the Signatures list.

    If you click No, the system displays the worklist and no signatures are completed.

When you stop Auto Sign...

Clicking the Stop button during Auto Sign allows you to interrupt the timed display of document images. The system enables the Continue button for you to resume processing. However, if you click Stop and use the Exit Viewer button to exit back to the worklist, you have the option to sign the deficiencies you have already reviewed. The system displays "Do you want to sign the pages you have reviewed?" To sign, click Yes.
