Creating a Physician Query

This procedure allows coders to query a physician from within the Assignment Viewer when they have diagnostic questions about an encounter. When the coder submits the query, it gets routed to an analyst who creates a deficiency. When the analyst applies the deficiency, it gets routed to the physician. When the physician completes the deficiency, it gets routed to a completed coding query queue.

For this functionality to be available, FormFast must be installed and configured in HPF WebStation Administration. Your FormFast user ID and your HPF user ID must match.

To create a physician query, do the following:

1. If not already there, use the steps in To Select Your Assignments to access your assignments.
2. On the Assignment Worklist with an assignment (or assignments) selected, click the Process (or Process All) button.

The system displays the Assignment Viewer.

3. On the toolbar, select the down arrow next to the Launch option and select Physician Query from the drop-down list.

The system displays the Physician Query window. The Encounter and Facility fields are pre-filled and the Physician of Record option is selected.

4. If you need to select from the list of all physicians, select All Physicians.
5. In the Physician field, select the physician for the query.
6. To send the query to a shared queue, leave the Shared option selected. Otherwise, select Personal. This determines the list of queues in the Queue field.
7. In the Queue field, select the queue for the query, if needed.
8. In the Reason field, enter the reason for the query. You can select from the list of standard reasons (click the down arrow), select a standard reason and append free text, or enter free text only.
9. Click Select.

The system launches the FormFast product and displsys the Physician Query Catageory window with the available forms listed.

10. Select the Start button to the left of the form you want to use for the query.

The system displays the selected form, which is pre-filled with information determined by the facility.

11. Complete the form and click the Submit button at the bottom of the form. Then close FormFast.

The system adds the assignment to the queue you selected and sends an assignment to the analysis queue. The analyst applies a missing text deficiency, which then gets routed to the responsible physician or physician group. When the physician completes the deficiency, the assignment is removed from the coding query pending queue and added to a coding query completed queue.
