When a document is edited during completion of a signature deficiency, the content of the document may change significantly. Horizon Patient Folder Workstation can be configured to preserve the original version (and any previously edited versions) of the document to allow tracking of patient care decisions. The Enable Versioning parameter is set at the enterprise level. At the user level, security permission is required to view prior versions of a document.
Document versions, when enabled, are available on the document tree. You can view the document tree with versions on the Medical Record Viewer during deficiency processing by clicking the Patient name link from the deficiency worklist, or the Medical Record Viewer option from the viewer.
If you do not enable versioning, predecessor versions of the text edited document are not retained. The current document is replaced by the new/edited version.
When you access the document tree, you have the option to show or hide versions. (By default, they are hidden.) When you click Versions, if any exist for a document, you will see a gray, 2-page icon to the right of the document name in the document tree. This icon, and the text [mm/dd/yy hh:mm v.x], indicates this is a prior version of a document that has been text edited. (The date indicates when the document was edited and authenticated.) The current version is above the most recently edited document (for example, v. 2); any older edited versions (for example, v. 1) are below the latest edited version. The current version is always on top and does not display a version number.
Deficiencies cannot be created on prior versions of the document.
Document versions are not included in the Adjust Document Indexes function in HPF Workstation.
If a document is deleted, all prior versions of the document are also deleted.
In addition to versioning information, the document tree contains the following information in this order: Document name, Subtitle, Date/Time stamp (as an indexed value). A plus (+) icon on a node indicates that the item contains subordinate nodes.
